*ABOUT WORLD ATHLETICS* World Athletics (WA) is the international governing body for the sport of athletics that includes track, field and road events.

It includes 6 continental federations and 214 national federations, each a member of WA. “WA organises the leading athletics competitions worldwide including the World Athletics Series (WAS) of events and its flagship the biennial World Athletics Championships and administers one-day meeting circuits such as the World Indoor Tour, Diamond League, Continental Tour and Road Race Label events.

The mission of the WA is to lead, govern, and develop the sport of Athletics in all its forms worldwide uniting the Athletics family in a spirit of Excellence, Integrity and Solidarity.” WA is based in Monaco, has a staff of over 115 representing 32 different nationalities.

Lord Sebastian Coe was elected as the WA President in 2015 and was re-elected in 2019 and 2023.

Over this time, he has instigated a period of high-profile organisational transformation and modernisation as well as wide-spread reforms across the sport globally, which led World Athletics to becoming a leading International Federations in the Olympic movement once more.

This is an exciting time to join the organisation. GENERAL OVERVIEW OF THE POSITION This role consists in supporting the International Relations (IR) & Development department in project-based tasks (research and consultation), providing support to the department’s teams as needed, as well as providing direct support to the Director in administrative day to day activities (diary, administrative tasks, travels, etc). DESCRIPTION OF KEY RESPONSIBILITIES OF THE POSITION 80% PROJECT SUPPORT · Provide project-based support (Kids’ Athletics data, eLearning platform utilisation, Grants usage analysis) through researching, collecting and analysing data before summarising and presenting it in a succinct, user-friendly format · Provide administrative support in preparation of WA Council, Executive Board, commission and working groups meetings, as well as protocol for World Athletics events, as appropriate · Support preparation of other meetings, draft minutes, record follow-up actions, create and circulate post-meeting reports · Support by reading and drafting letters and documents (some legal), including preparation of briefing notes, case studies and reports · Collate departmental information for monthly reporting · Ensure proper follow up of the department’s invoices and budget · Maintain key information for the department and assist in logging and keeping up to date departmental event and activity calendars · Review team processes and procedures including effective team communication channels and filing systems and suggest more efficient ways to run the office · Contribute to team effort by accomplishing related department results as needed · Schedule and organise team meetings and a year-end strategic brainstorming day · Highlight relevant upcoming activities and policy developments within the global athletics or international sporting landscape · Ensure all WA IT and management processes and systems are up and running across the department and the whole team 20% EXECUTIVE SUPPORT · Provide assistance as per the Director’s request · Maintain diary and provide reminders · Manage requests and queries appropriately · Make and manage travel arrangements for the Director SKILLS & EXPERIENCE REQUIRED · Experience evolving in an international environment (preferably within sport) · Strong analytical skills with the ability to collect, organise, and interpret multiple data sets to identify trends, patterns, and insights that support decision-making · Organisational and planning skills · Skills in drafting and designing reports and presentations · Understanding of legal and governance contexts · Experience in assisting a Director and/ or a team SOFT SKILLS & EXPECTED BEHAVIOUR · Total integrity & high sense of confidentiality · Solid organisational skills and attention to detail · Good communication skills, comfortable in multi-cultural environment · Proactive and solution-oriented mindset · Reliable and adaptable team player LANGUAGES & IT · English, excellent written & spoken, fluent French and/or Spanish an advantage · Microsoft Office, high proficiency · Able to use AI effectively (without relying on it) EDUCATIONAL BACKGROUND * Degree (BSc, BA, BTS) *HOW TO APPLY* WA is an equal opportunity employer and positively encourages applications from suitably qualified and eligible candidates regardless of sex, ethnicity, disability, age, sexual orientation, gender identity, religion and belief.
